Match the period before comparing totals
Patreon’s Payouts Dashboard documentation describes downloadable earnings, payout withdrawal, patron transaction, refund, and tax records. Choose records that answer the same question. A month of earnings and a withdrawal initiated on a different date are not automatically a failed reconciliation.
A practical first check is to write the reporting period on every source export. Next, identify whether the amount is gross membership revenue, an earnings balance, or a transferred payout. Preserve the original export. Then enter aggregate totals into the blank Patreon income tracker CSV, not member identity data. The tracker guide gives a field-by-field workflow.
Timing can also explain an apparent difference without creating a new fee. A payment can be processed in one period, a refund can be recorded later, and a payout can transfer a balance at another time. This guide does not estimate a universal timing delay. It asks you to align the documented dates and leave an item unresolved until its source is known.
Use the tracker formula exactly
The reconciliation formula below matches the tracker guide exactly. Keep each component separate so an account-specific charge does not get silently absorbed into a generic percentage.
gross membership revenue − platform fee − payment processing fee − currency conversion fee − payout fee − taxes on creator fees − refunds and chargebacks − other deductions + documented credits = expected netSynthetic arithmetic example, not a benchmark: $1,000.00 gross minus $100.00 platform fee minus $35.00 payment processing minus $2.50 payout fee minus $10.00 tax on creator fees minus $25.00 refunds equals $827.50 expected net. The values demonstrate subtraction only; they do not describe a Patreon plan or a typical creator.
If the expected net differs from a payout, do not edit the biggest input to make the row balance. Compare the payout’s date, method, and covered balance. Check the payment, refund, tax, and payout exports. Record a documented credit as a positive item only when you can identify it. This preserves an audit trail and makes later correction possible.
Documented conditional fees are not assumptions
Patreon’s Creator fees overview distinguishes platform and payment processing from conditional currency conversion, taxes on creator fees, and payout transaction fees. It says a payout transaction fee is deducted when the Patreon balance is transferred, rather than being listed in the earnings-dashboard fee breakdown. That is why a payout comparison needs a payout record.
The same source says a currency conversion fee can apply when a member pays in a currency different from the creator’s payout currency, and that taxes on creator fees can be separate line items where required. Those conditions should be entered only when they appear in your records. Adding them to every row merely because they exist in the documentation would create a false reconciliation.
The Patreon revenue calculator intentionally models a selected platform fee and one USD payment profile. It excludes conditional charges because the inputs do not establish whether they apply. Use it for a transparent scenario, then use the tracker for actual account records. For the stated per-payment math, see the worked Patreon fee examples.
FAQ
Why is a Patreon payout lower than an earnings figure?
Compare matching periods and records. Platform, processing, conditional currency conversion, taxes on creator fees, refunds, chargebacks, other deductions, and a separate payout fee can affect the result.
What formula should I use to reconcile Patreon?
gross membership revenue minus platform fee minus payment processing fee minus currency conversion fee minus payout fee minus taxes on creator fees minus refunds and chargebacks minus other deductions plus documented credits equals expected net.
