Start with Patreon's records, not an online estimate
Patreon says its Earnings page is the place to review gross and net income for each month. Patreon also distinguishes that record from the public overview, which is a trend estimate and should not be treated as the accurate result for one specific month. The Payouts Documents tab provides several downloadable records, including earnings by month, payout withdrawals, patron transactions, refunds, and tax documents. Privacy-conscious default: the blank tracker records period totals and patron-count changes. It does not need member names, email addresses, mailing addresses, payment details, or message history.
What to record in the blank Patreon tracker
The CSV separates revenue, fees, adjustments, and the actual payout so you can see which category changed. Add one row per reporting period and keep the sign convention consistent: enter deductions as positive amounts, and use a negative adjustment only when you are intentionally recording a credit.

A repeatable monthly reconciliation workflow
- Choose one period. Use the same start and end dates for every number in the row.
- Export the relevant Patreon records. Keep the original files unchanged so you can trace a tracker entry back to its source.
- Enter aggregate amounts only. Copy totals into the matching columns and leave a conditional field blank or zero when it did not apply.
- Reconcile the arithmetic. Subtract documented deductions, add documented credits, and compare the result with the actual payout.
- Explain, do not erase, a difference. Check timing, currency, refunds, payout fees, and other account-specific adjustments, then record what you verified in the notes column.
If you also track aggregate new and cancelled paid patrons, Patreon documents a filtered CSV export from its Relationship Manager. Use only the counts needed for your own business review; the public blank tracker does not ask you to copy member identities. Read Patreon's Relationship Manager guide.
Use a visible reconciliation formula
The tracker is deliberately blank, so your spreadsheet app will not invent rates or change account records. A simple check can use this structure:
gross membership revenue − platform fee − payment processing fee − currency conversion fee − payout fee − taxes on creator fees − refunds and chargebacks − other deductions + documented credits = expected net
Synthetic arithmetic example, not a benchmark: $1,000.00 gross − $100.00 platform fee − $35.00 payment processing − $2.50 payout fee − $10.00 tax on creator fees − $25.00 refunds = $827.50 expected net. These values are invented only to demonstrate subtraction and do not describe a Patreon plan or a typical creator.
Compare the expected net with the actual payout field. If they differ, do not change an input merely to make the row balance. Find the source record for the difference or label the amount as unresolved until you can verify it.
Why the tracker uses actual fees instead of supplied rates
Patreon documents several kinds of creator charges, including platform, payment processing, currency conversion, taxes on creator fees, and payout transaction fees. Which charges apply can depend on the creator's own plan, currency, payment methods, location, and account history. Check Patreon's current creator-fee overview.
The Patreon revenue calculator is useful for a scenario before the month closes because every assumption is visible. The tracker serves a different purpose: it records what Patreon actually reported. Keeping those jobs separate prevents a model from quietly replacing your account records.
Keep the working file under your control
The download is a header-only CSV. Creator Revenue Calculator does not upload, import, read, or store what you enter. Your spreadsheet app and storage choice control where the completed file goes, so review their privacy and sharing settings before adding business records.
Use aggregate amounts whenever they answer the question. Member names, contact information, addresses, and message history are unnecessary for monthly revenue reconciliation and create avoidable privacy risk.
